Manage Accounts
Accounts will be automatically created from billback detail
and depletion
reports. Sometimes these accounts will lack
information or will be created with the minimum amount of information. This guide should help you manage the information
stored for each account.
Edit
The automatically created account will likely not have all the information that you might have. In order to enhance the account, you can either link the account as shown below, or add/correct the information yourself manually.
Linking
In order to get the most value out of an account, you will need to link it to our external provider in order to map an account in your system, to our external database containing detailed information about the account and possible contacts.
In order to link an account, first click on the Link button which will open the following modal:
This will auto populate the left searchbar with the information provided, if nothing shows up, you should try to:
- Shorten the business name (sometimes distributors don't have the official business name on file)
- Choose a broader location (remove the city for example)
- Completely remove the location
If that doesn't work it might mean the business is not on file. Finding a match is unfortunately usually more art than science.
Merging
Merging is a fix forward mechanism. If you want the older data to be "moved", you will need to manually force a re-scan of the documents affected.
In some scenarios, for example when a distributor uses two different names for the same account, or two distributors use very similar names for the same account, our system will automatically create two account (not recognizing that they are the same account).
To fix this, you will be able to merge two accounts. When doing so it will merge the current account into another account. This will merge the "doing business as" names in order to search for both names when filtering for the account.
Tagging
When dealing with thousands of accounts, it's critical to make it easy to find accounts quickly and effectively. In order to do so, we allow users to add custom tags for each account, each tag is a key value pair which can later be used to search and filter down the search results.
